Respond to an intro call request
Updated August 31, 2026
An intro call is a short video call, usually 20 to 30 minutes, with a supervisee or employer considering you. Nothing is committed by holding one. After the call you both decide separately whether to work together, and supervision starts only if you both say yes.
Find your requests
Open the menu under your name and select Intro calls. A count appears beside it when a request is waiting on you, and your dashboard also lists calls needing action.
Each row shows the person's name, whether the request came from a Supervisee or an Employer, when it was sent, and a status such as Times sent, Action needed, Call booked, Finding new times, Matched, Cancelled, or Expired.
Select a row to open Request details.
Read the request before you respond
The left side of the request details lists what the supervisee submitted, including the license they are seeking and the state, when they want to start, their supervisee type, employment status, work setting, placement site, specialties, modalities, and any note they added. Employer requests instead show the company, setting, number of associates, hours a week, start date, and session type.
Select Message to ask a question before deciding. Messaging is available while the request is still open.
Approve, suggest other times, or decline
Times are shown in the time zone named above them.
- Approve books the call. Select one of the offered times first, then Approve.
- Suggest alternate times opens a picker for your own availability. You must submit at least three different times before Submit times becomes available.
- Decline closes the request. See below, because two of the reasons change your account.
Once a call is booked you can still Reschedule or Cancel call up until the start time, after which both actions disappear. Motivo does not block a late cancellation, but the supervisee has held the time for you, so give as much notice as you can and aim for at least 24 hours.
Requests do not stay open indefinitely. If every offered time passes without a response, the request expires.
What declining does
Declining always asks for a reason and lets you add a note that is sent to the other person.
Before the call, the reasons are No bandwidth currently, No longer wish to offer clinical supervision on Motivo, Not a good match, and Supervisee is not ready to receive supervision. After the call time has passed, they are Not a good match, Unprofessional, Limited availability, and Didn't show up.
Two of these do more than close the request:
- No bandwidth currently sets your capacity to no bandwidth and hides your profile from new requests. You can change your capacity again from your dashboard whenever you are ready.
- No longer wish to offer clinical supervision on Motivo unpublishes your profile. Write to support@motivohealth.com when you want it published again.
If you pick Not a good match or one of the others, nothing about your profile or capacity changes.
If a supervisee does not show up
When you decline a call the supervisee booked and choose Didn't show up, Motivo charges them a $20 late fee for not cancelling within 24 hours. The screen tells you the fee is being applied and offers Submit without charging the $20 fee if you would rather waive it. Use your judgment. Emergencies happen.
Join the call
Intro calls run on Zoom. Open the booked call and select Start call if you are the host, or Join call if Motivo is hosting. The button stays disabled until the scheduled start time.
Decide after the call
Once the scheduled time passes, the request details ask whether you want to move forward with that supervisee, or connect with that organization for an employer request.
Select Yes, confirm and confirm in the dialog, or No, decline to go through the reason flow above. If the other person has not answered yet, the page tells you it is waiting on them. When you both confirm, the page congratulates you and offers Book your first session.
If the call never happened, use Reschedule from the same screen rather than declining.
