How the employer portal works

Who can use the employer portal

You need an employer portal account connected to your organization. The pages and actions you see depend on your role, permissions, and assigned programs.

Your employer portal account is separate from any Motivo supervisor or supervisee account that uses the same email address. Sign in from the employer portal to manage your organization.

Find the main areas

Use the main navigation to move between the parts of your organization that you can access:

  • Dashboard summarizes recent supervision activity.
  • Sessions shows upcoming, completed, missed, and cancelled sessions.
  • Supervisees lists the supervisees connected to your organization.
  • Supervisors lists Motivo and in-house supervisors available to your organization.

Open your account menu for other areas, including Messages, Intro calls, Programs, Administrative hours, Settings, and Directory. Some links appear only when your organization uses that feature and your role includes access.

Message a supervisor

Messaging happens inside the portal rather than over email, so the conversation stays with the supervision record.

  1. Open your account menu and select Messages.
  2. Open an existing conversation, or start one from a supervisor's profile or a supervisee row using the message action there.
  3. Type your message and send it.

Messages carries a count of conversations with something unread, so the account menu is where to look first.

Motivo also emails you about a message you have not read: once about half an hour after it arrives, and again after around 24 hours if it is still unread. These are not part of the notification checkboxes under Settings > Notifications, so you cannot turn them off there.

Messages are text only. You cannot attach a document to one.

Work with programs

If your organization has more than one program, some pages show a Program: selector. Choose Select Program to focus the page on one program, or choose See all programs when your access allows it.

Program directors usually see information for their assigned program. Clinical directors may manage several assigned programs. Admins can generally work across the organization, while billing managers focus on sessions and billing.

When a page or action is missing

A hidden page, disabled Team tab, or missing button usually means your role does not include that action. It can also mean the feature is not enabled for your organization. Ask a team member who can manage roles to review your access before assuming the information is unavailable.
